Exotic Mountains (“we,” “us,” or “our”) operates exoticmountains.com and provides trekking, tour, and travel services in Nepal, with offices in Kathmandu (Nepal), Texas (USA), and Paris (France). We know you trust us with personal information when you plan a trip with us, and we take that seriously. This policy explains what we collect, how we use it, and the choices you have. By using our website or services, you agree to the practices described here.
Information We Collect
Information you give us. When you make an enquiry, book a trip, or subscribe to our newsletter, we collect details such as your name, email address, phone number, country of residence, and anything you include in your message. When you book a trip, we also collect the details needed to organize your travel — such as passport information, date of birth, travel insurance details, emergency contacts, dietary requirements, and any health or fitness information you choose to share so we can plan a safe itinerary.
Information collected automatically. Like most websites, we use cookies and similar technologies to collect information about how you use our site — such as the pages you visit, your approximate location, device and browser type, and how you found us. See “Cookies and Analytics” below.
How We Use Your Information
We use your information to respond to enquiries, prepare quotes and itineraries, organize and operate your trip (including permits, flights, accommodation, guides, and transport), process payments, send booking-related communications, send our newsletter if you have subscribed, improve our website and services, and comply with legal obligations in the countries where we operate.
How We Share Information
We never sell, rent, or trade your personal information. We share it only as needed to deliver our services:
Government authorities — to arrange required trekking documentation such as TIMS cards, national park and conservation area permits, and restricted-area permits.
Local trip partners — hotels, airlines, transport providers, and our licensed guides and porters, who receive only the details they need to operate your trip.
Service providers — companies that support our website and communications, such as hosting, analytics, advertising, and email providers.
Legal requirements — where disclosure is required by law or necessary to protect safety.
Cookies and Analytics
We use Google Analytics to understand how visitors use our site, and advertising tools such as Google Ads and Meta (Facebook) tools to measure and improve our marketing. These services may set cookies and collect information such as your IP address and browsing behavior on our site. You can control cookies through your browser settings, and you can opt out of personalized advertising through Google Ads Settings and Meta Ad Preferences.
Email Marketing
If you subscribe to our newsletter or download our free Nepal travel guide, we store your name and email address with EmailOctopus, our email service provider, and use it to send you travel tips, offers, and updates. Every email includes an unsubscribe link, and you can opt out at any time — no hard feelings.
Payments and Data Security
Payments are processed by trusted third-party payment providers. We never store your full card details on our servers; payment providers handle your data under their own privacy policies. Our website uses SSL encryption, and access to personal information within our company is limited to staff who need it to arrange your trip. No online system can be guaranteed 100% secure, but we take reasonable technical and organizational measures to protect your data from unauthorized access, alteration, or misuse.
Trip Photos and Testimonials
We love sharing the adventures of our guests — but only with permission. We will not publish identifiable photos of you from your trip, or your review or testimonial with your name attached, in our marketing without your consent. If you ever spot a photo of yourself you would like removed, just contact us and we will take it down.
International Transfers
Because we operate from Nepal with offices in the USA and France, and use service providers based in different countries, your information may be processed outside your country of residence. Wherever it is processed, we take reasonable steps to ensure it is handled securely and in line with this policy.
Data Retention
We keep booking and enquiry records for as long as needed to provide our services and meet legal, accounting, and insurance requirements, after which they are deleted or anonymized. Newsletter data is kept until you unsubscribe.
Your Rights
Depending on where you live (including under the EU/UK GDPR), you have the right to access a copy of the personal information we hold about you, correct or delete it, object to or restrict its processing, request that it be transferred to another provider, and withdraw consent at any time. To exercise any of these rights, contact us and we will respond as soon as reasonably possible.
Third-Party Links
Our website contains links to external sites — such as tourism boards, review platforms, and partner services. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their policies before sharing personal information with them.
Children
Our website and marketing are directed at adults. We collect information about minors only when a parent or guardian provides it as part of a family trip booking.
Changes to This Policy
We may update this policy from time to time. The latest version will always be available on this page, with the date of the most recent update shown at the top.
